Vacation Holds

Hi there!

This is my first season managing a CSA and using SFC.

I understand how to add/edit vacation holds (I think) and can see the vacation holds listed on my pickup lists that folks have already scheduled for the season, but the names of the members who have requested holds still show up on my list for that week? I know that I need to manually make note on my lists of who receives a double that week, but should I cross the folks names off if they have a hold? In past years when I was just working the CSA, if someone had a vacation hold, I would see it written on the bottom under "scheduled actions" but their name would not appear on the list itself. Do I need to manually remove them from my pickup list or have I done something wrong/ missed a step since their names aren't coming off automatically.

    I see you have your "action day" listed as Friday, which means the people are added/taken off holds on Friday for the coming week.

    1) When did you run the specific report you are looking at?

    2) Are you looking at the report for the current week or are you trying to do future weeks? If you are using the vacation holds, you really can only run pickup lists for the current week.

    3) Can you provide the name of a couple members that this is occurring with?

    I was trying to look at my lists for my first pickups which will be next
    week. On Wednesday I will be creating my very first box and share for the
    season with some help. We will be building the box for the Tuesday 11th
    pickup. An example of my problem would be member Margarita Cardenas, she
    has a scheduled hold beginning 6/7. So, she should not receive a box on
    Tuesday 11th, but when I look at the pickup list, I see her name and the
    correct dates under scheduled actions, but shes still on the list.

    I did see the note that reads "Please note that scheduled actions like
    Vacation Holds are not reflected if you choose future dates for a pickup
    list." Is that why I can still see her name on my list, because it is for a
    future week? Aside from this current week, going forward for our CSA, we
    will always be building the box for Tuesday pickup, the Friday before. And
    we build the box for Thursday pickups, the Monday before. Because those
    days are all "during the same week" for the system, I shouldn't run into
    this problem again if I am understanding everything correctly???

    Yes, that is correct.

    Essentially the "vacation hold" is just a special member status. So on friday mornings (real early in the morning, like 3-4am), those who are supposed to be on vacation for that week are moved into "vacation hold" status and that then impacts who shows up on the pickup lists.

    So if you run the lists on Thursday for the following week, they will run them based on the current week's status and will potentially be wrong, but when you run them on Friday, they will be correct for that Friday through Thursday period.
